Overview

The Nursing Staffing Coordinator is responsible for the efficient development, management and optimization of the daily and long-term schedules for the Inpatient, LTC, Day Hospital nursing units and the Respiratory Therapy department.  Operating in a unique pediatric specialty environment, this role ensures that clinical units are safely and appropriately staffed in accordance with patient acuity, regulatory requirements, collective bargaining agreements and budgetary guidelines. The coordinator acts as a central point of contact for scheduling adjustments, unexpected absences, and workforce data tracking.

 

The Nursing Staffing Coordinator reports directly to the Director of Nursing- Infant/Toddler, also collaborates regularly with all members of the Nursing Leadership Team.

 

Work Hours: Monday-Friday, 11a-7p, however hours may vary based on staffing needs, flexibility is needed to provide coverage in emergent situations.

Responsibilities

Schedule Development & Shift Optimization

  • Prepares, executes, and distributes information and correspondence related to RT, RN, CNA, NA and Unit Secretaries to the Nursing and Respiratory Leadership team.
  • In collaboration and under the guidance of Nursing and Respiratory Leadership ensures the accuracy of the Hospital Payroll Management System; inputs Nursing and Respiratory leaders, RN, RT, CNA, NA and Unit secretary productive and non-productive time into the Hospital's Payroll and Scheduler system and submits finalized payroll in a timely manner.
  • Enters staff schedules for the Nursing and Respiratory department; makes schedule changes in a timely, accurate manner; and prints the daily/weekly scheduler sheets for Nursing and Respiratory Leadership from the Hospital's Payroll and Schedule Management System.
  • Under the direction of Nursing and Respiratory Leadership, actively recruit staff to ensure staff to patient ratio is aligned with budget guidelines; replaces staff sick calls or cancelled shifts; and recruits staff for overtime when there are gaps in schedules. Ensures 24/7 coverage across all units.
  • Will assist Nursing and Respiratory Leadership and Human Resources (HR) with professional licensures and certification renewals.
  • Under the direction of the Director of Employee Health, will assist with Employee health tracking and annual health compliance requirements.
  • Updates and Maintains the IRIS database system.
  • Will prepare time and attendance reports for Directors as directed.
  • Coordinates and/or assists in special projects as directed by Nursing and Respiratory Leadership.
  • Assumes other duties as delegated by Nursing and Respiratory Leadership.

Workforce Compliance & Policy Alignment

  • Administer scheduling practices in strict adherence to hospital policies. Department of Health (DOH) regulations and Joint Commission standards as well as Collective Bargaining Agreements.
  • Ensure all scheduling allocations align seamlessly, particularly with overtime distribution and mandated rest periods.

Communication & Relationship Management

  • Serve as the primary, accessible liaison between nursing and respiratory leadership and floor staff regarding scheduling requests, PTO and shift trades.
  • Collaborate closely with the nursing and respiratory Leadership Teams to flag persistent staffing gaps, coordinate the onboarding schedule for new nursing and respiratory hires, and manage temporary or agency nursing and respiratory staff schedules.
  • Address and resolve scheduling conflicts with a high degree of professionalism, equity and diplomacy.

Data Management & Reporting

  • Utilize the hospitals’ scheduling and timekeeping software to track attendance, punctuality, paid time off, leave of absence and use of sick time.
  • Compile operational metrics, such as overtime trends, utilization of agency staff, and time to fill vacant shifts to assist nursing and respiratory leadership in strategic workforce planning.
  • Audit timecards against actual schedules worked to ensure accurate data transmission to nursing and respiratory leadership and the payroll department.
  • Serve as liaison to nursing and respiratory leadership, Employee Health, HR and Payroll.

Qualifications

  • 3+ years of experience in healthcare scheduling or staffing coordination, ideally within a hospital or inpatient rehabilitation setting.
  • Proficiency with automated workforce management and scheduling systems (e.g. Kronos, ADP) helpful.
  • Strong command of Microsoft Office (Word, Outlook, Teams, Excel, OneNote, MS Office Forms) required.
  • Exceptional organizational and multi-tasking skills, high attention to detail, ability to work well under pressure in a fast-paced environment.
  • Ability to communicate effectively with staff across levels.
  • Bilingual in English and Spanish helpful.

Education, Licensure, and Certification

  • Bachelor’s Degree Required.
