Overview

The Medical Staff Administrative Assistant will support the medical team to ensure that all schedules are effectively managed and posted. The administrative assistant will support the Graduate Medical Education programs and complete reporting for the GME grants. They will be the primary contact for the subspecialist service providers. The assistant will provide administrative support to the Medical Directors for inpatient, day hospital and long-term care for management of quality improvement initiatives. They will support the Medical Staff Office to meet the needs of the medical staff, contracted physicians and students.

 

The Medical Staff Administrative Assistant reports to the Senior Director of Medical Operations with a dotted line to the Medical Office Coordinator.

 

This is an onsite position.

 

Work hours are Monday-Friday, variation of 9am-5pm, 8am-4pm, 8:30am-4:30pm based on business needs.

Responsibilities

  • Medical Staff Scheduling: Support the inpatient Medical Director with creating and maintaining schedules for the attending physicians, nurse practitioners, and moonlighters to ensure 24/7 coverage that meets budgeted goals.
  • Subspeciality Clinicians: Enter and maintain the calendar for all the subspecialty clinicians who provide consultation at the hospital. Post the subspeciality calendar monthly and update related to vacation and coverages. Track contracts to be sure they are up to date and provide invoices for these programs to the CMO. Provide data to CMO to monitor use of subspecialists.
  • General Office Support: Provide calendar support for activities related to quality improvement initiatives. Facilitate collaboration with other departments and administrative support for meeting notes and communications. Assist with all day-to-day office functions for the Medical Staff Office including management and tracking of invoices, responding to email inquiries, fax distribution, answering phones, sorting mail, and maintaining office supplies.
  • Graduate Medical Education: Participate in the activities of the Graduate Medical Education program to help ensure that we provide quality experience for our residents and fellows. Support the GME participants to ensure all appropriate documentation for onboarding, scheduling rotations, and program reporting is completed on time. Communicate via email and in person with the resident/fellow program coordinators, BCH physicians, various BCH departments, the residents, and fellows.
  • Credentialing: Assist the Medical Staff Office Coordinator managing clinician credentialing profiles in the credentialling software and upload correct documentation to MDs and NP profiles.
  • Medicaid: Using the NY and CT Medicaid websites enroll, revalidate, or reinstate MDs and NPs manually or online, attaching the correct and required credentials. Maintain an accurate, clean, and organized NY and CT Medicaid filing system.

Qualifications

  • 3+ years of medical office administration experience in a healthcare setting. Experience in a Medical Staff office or Graduate Medical Education department strongly preferred.
  • Proficiency in CredentialStream/VerityStream, Symplr, Microsoft Office (Word, Outlook, Excel, Powerpoint, Visio, Access, Teams, OneNote), Adobe Acrobat, Zoom.
  • Knowledge of Expanse/Meditech and/or other electronic medical record applications helpful.
  • Demonstrable effective organizational skills.
  • Ability to communicate with internal and external stakeholders.

Education, Licensure, and Certification

  • Bachelor’s degree from an accredited university in the U.S.
  • Fluency in English and bilingual skills a plus.
